Book Isle metadata: organise titles, authors, series and covers

Check titles, authors, series and covers through individual books and small batches, avoiding accidental merging of different editions with the same title.

English translation of the Chinese original, translated on . The article body uses automated translation; app descriptions, historical reading notes and video subtitles receive separate editorial checks. Original publication dates, attribution, code and version notes are retained.

A common library problem is filenames, titles, authors, and covers that no longer agree. Book Isle's details help you inspect this information and organize authors, series, and covers as needed. Using three books from one series, this article makes them easy to recognize while preserving their reading content.

Distinguish filenames from shelf metadata first

Prepare three imported books and record their original filenames and covers. Filenames may contain download dates, versions, or formats, while shelf titles come from metadata inside EPUBs or PDFs. Renaming a desktop file may therefore leave an already imported shelf title unchanged. Editing shelf information likewise does not mean the original file's internal metadata has synchronized.

Practice on one book first, not the entire set, especially if it mixes authors, translators, or editions. Two works called Photography Basics may be unrelated. Standardizing their authors based only on similar covers makes searches and same-book identification harder. Verify against the copyright page or reliable publication information you retained.

Inspect existing information in book details

Long-press the target book on the shelf and open Book Details. Inspect its main format, available formats, author, series, reading state, tags, and import time. Not every field will have a value. A missing publisher or ISBN may mean the source never supplied it, not that importing failed. Separate clearly wrong information from simple omissions first.

For books already read, check progress too to confirm that you selected the right record. Identical covers, different formats, and repeated imports can be confusing. If uncertain, open the copyright page or first chapter before organizing. Do not guess an unknown author merely to make details look complete. A blank is easier to correct later than false information.

Group related works into a series

If details offer Edit Series, enter a consistent series name and set numbers according to the actual order. For example, use Photography Notes as the series, with Basics, Composition, and Editing as one, two, and three. A series expresses order within one set, while tags such as photography and reference can span several series.

After editing one volume, return to details and check it before doing the other two. Watch for full-width spaces, different brackets, and slightly different series names that look alike but may create separate series. After sorting, open every book to confirm that the order follows real content rather than mechanically following filename numbers. A revised edition is not automatically volume two.

Change authors and covers in a controlled way

To standardize an author, enter Edit Shelf, select only books confirmed to have that author, and choose Author under More Actions. Recheck the selected count before applying. Batch editing reduces repeated input; it does not determine which books belong to the same person. One incorrectly selected book changes too.

Start with one cover too. If the interface offers cover settings or online completion, use an image matching the specific edition. A clear placeholder is acceptable for scanned material without an official cover. Do not use another author's commercial cover for your own document. Check online candidates' title, author, and edition individually before adopting them; the first result is not automatically authoritative.

Trace an incorrect title to its source

If an incorrect title comes from embedded metadata, first check whether the current metadata-completion entry point can correct it. If no title-editing entry point exists, do not search for an imagined rename menu. Correct a copy in an external ebook management tool and use the new version's import process. Retain old records containing notes first so recreating an entry does not lose reading associations.

You can temporarily use series and tags to aid identification, such as a Title Needs Checking tag for uncertain records. This is more controlled than deleting every suspected duplicate. Retain meaningful edition differences when revising titles, such as Second Edition and Revised Edition, or genuinely distinct files become indistinguishable.

Verify with search and sorting afterward

Return to the shelf, search by author, then inspect series order. Confirm that all three books are present, an unrelated fourth was not included, and covers match the contents. Check both grid and list views: a grid helps identify covers, while a list makes titles and authors easier to compare. They expose different problems.

Finally, reopen a previously read book and confirm that content and progress remain sensible. Metadata organization does not itself require body changes. If you also replaced the file, that is a separate operation requiring its own check. Record the scope, such as 'three Photography Notes volumes: standardized series name and filled in author,' to help recall changes if synchronization differences arise later.

Frequently asked questions

Why did online completion find another book with the same title? Titles are not unique, and results may include different translations, publishers, and years. Cross-check the author, ISBN, or copyright page. If no exact result exists, cancel and retain the original information rather than accepting incorrect data just to fill every field.

Will changing the author rename the folder on the NAS? Do not assume so. Shelf metadata, remote file paths, and the Calibre database are separate layers. After organizing shelf information, check remote paths and original embedded metadata in the appropriate management tool. A changed author name does not mean the NAS folder was renamed.

Why is the series order still unsatisfactory? Confirm that series names match exactly and numbers correspond to real volume order, then check the shelf's active sort method. Editing a series does not automatically switch a view sorted by import time into series order.
